Analysis Tools 2.0 - Action plan interaction

The new analysis tools 2.0 has an integrated process for the creation of audit plans and managing them. It still offers the creation of an action plan excel but it is also possible to create an action plan json instead send it to the client. The client can use the free of charge Action Plan Manager to complete the action plan in a similar tool and send the answers back to the auditor. Bellow you will find a diagram and a step by step description of this process.

The action plan file will store all entries and is not limited. When pdf files and images are attached it will become large due to the attached files. This is should be kept in mind for the data exchange as e-mails are often limited by possible attachment size often starting as low as 5 MB. Even if the sender is allowed to have large files the receiver might not be.

  1. First the auditor uses the Analysis Tools 2.0 to create his audit report together with the action plan. He can save the report as json (this contains all report entries and the action plan) and a separate action plan json file. This file only contains the action plan entries and can be send to the client.

  2. The auditor uses e-mail, cloud or any other sharing technology to provide the client with the action plan json file an the link to the action plan manager tool http://actionplan.analysis-toos.de/. For data safety reasons the transfer process is out of our scope and we do not provide a cloud service to share the data using our application.

  3. When the client has received the action plan json he can use the “Load report/backup” button to load the action plan or drag and drop the file into the Action plan manager. Once the file is loaded the client can make his entries and finish the action plan.

  4. The client uses e-mail, cloud or any other sharing technology to provide the auditor with the action plan json file.

  5. After receiving the action plan json the auditor will load the action plan back into his audit report. It is important that the original audit report is still loaded in his Analysis Tools 2.0 as the action plan json will update the action plan contained in that report when loaded. The auditor can also use the Action plan manager to check the action plan in that case though the action plan in audit report won’t be updated.

Using the action plan json file the action plan can be exchanged as previously done with the excel file. Instead of excel though the Action Plan Manager application is used. Using the interaction between Analysis Tools 2.0 and the Action Plan Manager allows auditors to create one complete audit report documenting the full audit and feedback process.
